Waiver Software Comparison Worksheet
A side-by-side sheet for scoring up to three waiver tools against the requirements that matter to a small business, with room for your own notes and quotes.
Reviewed for 2026, updated September 8, 2026.
Choosing waiver software usually goes wrong in one of two ways. Either the owner picks the cheapest option and discovers a year later that it cannot export records or show which version a person signed, or they pick the most expensive one and pay for features a two-room studio will never open. This worksheet puts the requirements first and the vendors second. Fill in the requirement rows before you book a single demo, mark each line as a must-have, a nice-to-have, or something that depends on your business, and only then start scoring options.
The vendor columns are deliberately blank. Write what you saw with your own eyes during a trial, not what a sales page promised, and ask to see a real signed record with its audit trail before you believe any yes. The last row asks for a monthly quote at your real volume, which you can compare against your current paper cost using our calculator at /tools/paper-vs-digital-waiver-cost/. Our comparison page at /compare/ and the article on storing signed waivers safely at /blog/store-signed-waivers-safely-long-term/ explain why the storage rows carry so much weight.
| Requirement | Why it matters | Priority | Option A | Option B | Option C | Your notes |

| Audit trail on every signature | Timestamp, version shown, and signer identity are what an insurer or attorney asks for first | Must-have | Yes / No | Yes / No | Yes / No | Ask to see a real sample record |
| Version history of the document | Proves which wording a specific person actually saw and agreed to | Must-have | Yes / No | Yes / No | Yes / No | Your notes |
| Search by name, email, and date of birth | Retrieval in minutes is the whole point of storing waivers at all | Must-have | Your finding | Your finding | Your finding | Time a search during the trial |
| PDF export with metadata | Lets you change vendors, sell the business, or hand records to counsel without losing anything | Must-have | Yes / No | Yes / No | Yes / No | Try an export before you pay |
| Pre-arrival link and QR code | Moves most signatures off the check-in line before anyone arrives | Must-have | Yes / No | Yes / No | Yes / No | Your notes |
| Group link tied to one booking | Each participant signs individually while the organizer watches progress | Depends on your business | Your finding | Your finding | Your finding | Relevant for tours, parties, and retreats |
| Minor and guardian flow | Names the child, captures the guardian's signature, and records medical authorization | Depends on your business | Your finding | Your finding | Your finding | Your notes |
| Role-based access with a view log | Front desk sees signed status only while the owner sees the full record and who opened it | Must-have | Yes / No | Yes / No | Yes / No | Your notes |
| Encryption and tested backups | Records must survive a hardware failure, a lost tablet, or a vendor outage | Must-have | Your finding | Your finding | Your finding | Ask how a restore works |
