This calculator multiplies your monthly volume by the years you keep each waiver to find the steady-state number on file, then converts that into pages, records boxes, annual storage cost, and the size of the equivalent digital archive. The retention period, pages per waiver, box capacity, storage price, and scan size are all inputs, because they vary by state, insurer, and how you scan or export. The calculator does not choose a retention period for you; it shows what the period you choose costs to carry.

What the math assumes

Steady state assumes the same monthly volume for the whole retention period, so waivers on file equals monthly volume times 12 times retention years.
Every waiver is kept for exactly the retention period; waivers signed for minors, which many businesses keep longer, are not treated separately.
Boxes are rounded up to whole boxes, and each box holds exactly the page count you enter.
Storage cost is a flat annual rate per box and excludes retrieval fees, shredding, and the labor to file and pull sheets.
Digital size uses 1 GB equal to 1,048,576 KB; scan size varies with resolution and color, so adjust the KB per page to match your scanner or e-signature export.

Frequently asked questions

How long should I keep signed waivers?

It depends on the limitation period for injury claims in your state, whether minors sign, and what your insurer expects. Ask your insurer or attorney, then enter that number here; the calculator will not pick a period for you.

Does a few gigabytes of digital storage actually cost anything?

At typical cloud storage prices a few gigabytes is a rounding error. The real value of a digital archive is retrieval: searching by name and date in seconds matters far more than the storage line item.

What if my volume grows every year?

Run the tool with the monthly volume you expect to reach to see the ceiling. The steady-state count only holds once you have been at that volume for the full retention period, so the early years will be lower.

Why does the box count matter if I already scan everything?

Many businesses scan and still keep the originals for a while in case a signature is disputed. If you shred after scanning, set the storage cost to zero and use the box count only to size the shredding job.
