The waiver is usually the slowest step at any event entrance. A race, an obstacle course, a paint night, or a climbing competition can scan a ticket in seconds, but a signature takes a minute or more, and that minute repeats for every person who did not sign in advance. When arrivals bunch up in the last stretch before the start, the line grows faster than the staff can clear it, and the event starts late.

This calculator takes your attendee count, the share who will have signed online beforehand, the seconds each on-site signature takes, and the number of stations you plan to staff. It spreads arrivals evenly across your arrival window and compares how fast people show up with how fast your stations can process them. You get the number of stations needed to keep up, how long it takes to clear everyone with the stations you actually have, and the wait facing the last person in line. Real crowds arrive in bursts, so treat the station count as a minimum.

How to use this tool

What the math assumes

  • Arrivals are spread evenly across the arrival window; real crowds cluster near the start, so the station count is a floor, not a comfortable target.
  • Every on-site signature takes the same number of seconds, and a station is occupied only while someone is actively signing.
  • Attendees who pre-signed skip the signing stations entirely; their ticket scan or name check is not counted in this estimate.
  • Stations needed is rounded up so that the last on-site signer finishes by the end of the arrival window.
  • Breaks, dead tablets, and minors who need a parent signature are not modeled; each of those adds time in practice.

Frequently asked questions

How do I raise the share who sign in advance?

Send the waiver link with the ticket confirmation and again in the reminder the day before. Making a completed waiver the only way to get a bib, wristband, or gear assignment pushes the share up sharply.

What counts as a signing station?

Anything that handles one signer at a time: a staffed clipboard, a tablet on a stand, or a printed QR code that signers open on their own phone. Self-serve QR stations are usually the cheapest way to add capacity because one staff member can watch several.

Why does the wait get so long when I am only one station short?

Once arrivals outpace processing, every extra minute of the window adds more people to the line than the stations remove. The backlog keeps growing until arrivals stop, so a small shortfall turns into a long wait for everyone who arrives late.

Should I include people who are just spectators?

Only if your venue or insurer requires spectators to sign too. If they walk in without a waiver, leave them out of the attendee count so the estimate covers the people who actually need a station.
